What are Wellbeing tools and how do I assign them to my employees?

What are they?

Wellbeing tools refer to any additional benefits that are either attached to a product (and therefore available to employees assigned to that product) or purchased via the YuStore.

Where to find them?

To find your company Wellbeing tools, head to the Benefits option in the left-hand menu and select Wellbeing tools.

How to assign NEW Wellbeing Tools to specific employees

Assigning new Wellbeing Tools to specific employees can be done in two ways - for up to 10 specific employees you can do this on a name basis, and for a small group, it can be assigned via a Tag.

To assign a Wellbeing Tool to up to 10 individual employees, please follow steps 1-6. To assign a Wellbeing Tool to a small group of employees, please follow steps 7-13.

  1. Head to the Benefits tab in the left-hand menu of the Portal and select Wellbeing Tools. Click on the YuStore tool that you’d like to make available to the specified employees (any YuStore Wellbeing tools will have a pink ‘YuStore’ label).

  2. In the Employee access section, tap ‘Edit’ and set the tool to display for ‘Specific employees’.

  3. Next, you'll need to set the Eligibility Rules to show the specific individuals you want this assigned to. To do this, tap Add New Rule and set the rule as follows: "If Employee is equal to...", then you can add the names of the individuals in the final box.

  4. Once you've added the specific employee names, you'll need to confirm the selection on the pop-up by tapping 'Select Employees'.

  5. If you're ready for this wellbeing tool to be visible in the Wellbeing Hub, be sure to tick the 'display this in app' box. If you're not quite ready for it to go live in the app, you can leave this box unticked and go back to tick it when you're ready for your employees to be able to claim.

  6. Following on from this, you can also set rules on how often employees can claim the tool. For example, if you want your employees to only claim the wellbeing tool once per year, you'd tick the 'Fixed' box, set the max claims to one and set the time frame to 'year'.

  7. Click ‘Save’ after making any updates - you may need to refresh the page to see the changes.


    The steps below are for assigning a Wellbeing Tool to a small group of employees:

  8. Head to Settings in the left-hand menu and select Custom values. To create a Tag value, click on the Tags tab and then the ‘Add value’ button - fill out the details for the Tag and confirm ‘Add value’ (click here to read more about creating and assigning custom values for other field types).

  9. Head to the People page and select the employee you want to have access to the Wellbeing tool. On the employee page, scroll down to the ‘Tags’ section, click ‘Edit’, search for and select your newly created Tag, and ‘Save’.

  10. Now, tap on Benefits in the left-hand menu and select Wellbeing tools. Click on the YuStore tool that you’d like to make available to the specified employees (any YuStore Wellbeing tools will have a pink ‘YuStore’ label)

  11. In the Employee access section, tap ‘Edit’ and set the tool to display for ‘Specific employees’. In the Eligibility rules section, tap 'Add new rule' to create a rule using your newly created Tag/other field type value e.g. ‘If Tag is equal to WithU’.

  12. If you're ready for this wellbeing tool to be visible in the Wellbeing Hub, be sure to tick the 'display this in app' box. If you're not quite ready for it to go live in the app, you can leave this box unticked and go back to tick it when you're ready for your employees to be able to claim.

  13. In this section, you can also set rules on how often employees can claim the tool. For example, if you want your employees to only claim the wellbeing tool once per year, you'd tick the 'Fixed' box, set the max claims to one and set the time frame to 'year'. Click ‘Save’ after making any updates - you may need to refresh the page to see the changes.

  14. The specified employees can now claim this tool! Please note that if the number of licenses is less than the number of eligible employees, the assignment will be on a first-come, first-served basis. You can make this Wellbeing tool available to additional employees at any time by assigning the same Tag/other field value via the employee page.

Assigning NEW YuStore Wellbeing tools to all employees

Wellbeing tools already attached to an insurance product will automatically be added to an employee if the employee is assigned to that specific product.

If you’d like a YuStore Wellbeing tool to display in-app for all employees, follow the steps below:

  1. Tap on Benefits in the left-hand menu and select Wellbeing tools.

  2. Tap on the YuStore tool that you’d like to make available to all employees (any YuStore Wellbeing tools will have a pink ‘YuStore’ label).

  3. In the Employee access section, tap ‘Edit’.

  4. Set the tool to display for ‘All employees’. If you're ready for this wellbeing tool to be visible in the wellbeing hub of your employees, be sure to tick the 'display this in app' box. If you're not quite ready for it to go live in the app, you can leave this box unticked, and go back to tick it when you're ready for your employees to be able to claim.


  5. In this section, you can also set rules on how often employees can claim the tool. For example, if you'd like them to be able to make more than one claim per year or be limited to a specific number. After making any updates, tap ‘Save’ - you may need to refresh the page to see the changes.

Assigning EXISTING Wellbeing Tools to all or specific employees

If the Wellbeing tool is currently set to display to all employees, you won’t need to do anything further.

If the Wellbeing tool is set to display for specific employees, you’ll just need to assign the related Tag/other field value to the employee(s).

What permission do I need to assign a Wellbeing Tool?

You'll need the 'view wellbeing tools' and ‘view products’ permission to view the Wellbeing tools and details page. If you need to make changes to the Wellbeing tools, you'll also need the 'edit wellbeing tools' permission.

Can I see how many employees are claiming Wellbeing tools?

To view data on an employee’s YuStore Wellbeing tool claims, head to the ‘Wellbeing tools’ section on their employee page. Here, you’ll also see what Wellbeing tools the employee is eligible for, including those obtained via a product.

Additionally, you will find a company view of YuStore Wellbeing tool claims by heading to the ‘Wellbeing tools’ page, and tapping the Export button.
